EDEN VBC CLUB – TRAVEL

Dear Parents, Coaches, Players; 

Below is the description, ‘major points’ to know & remember regarding our club travel arrangements that I have worked out, with the help of the past organizer – Pam Jansma. 

Brad/Eileen Meyer will do all the legwork on hotel arrangements, contracts, contact person, etc. I will send out club hotel travel information, room lists, etc. via email to all teams/coaches & parents going.

• Each team-players/coaches and parents will receive an email with information for all planned away tourneys. Example other than Eden, Rochester, Erie,Pa.

• Players are to let their coaches know as soon as possible which tourneys they are definitely going to attend and those they can’t.

• Coaches will notify Mr. Pierce/Mr. Weislo of their completed rosters (including coach plans) for each tourney (and cc. me please), so trip costs/per player can be calculated.

• Team Parent Reps will gather their parent group hotel requirements and email me their completed list no later than listed confirm date on each tournament information email. 
  

Hotels/Rooms are booked for ‘group rates’, with consideration of keeping cost at a minimum.

• Therefore, because of the large numbers of rooms being booked, we are held to contract terms and have ‘a drop date’ (usually about 2 weeks prior). This will require that ALL booked rooms be CONFIRMED, or DROP those that are no longer needed. 
  

• After that date – the club is responsible for the cost of all rooms we confirmed booking for. 
  

For PLAYERS: 

Let your coaches know your plans ASAP!!!

• Once all is confirmed and costs/per player have been calculated – you are responsible for on time payment (dates per Coaches Pierce/Weislo). 
  

• If for some reason your plans unfortunately change and you don’t go- 
  

• YOU ARE STILL REQUIRED TO PAY YOUR FULL PORTION!

For PARENTS: 

• Parents are required to call their Credit Card # to hotel, by listed cut-off date. They will be reserving a room under the "Eden VBC" room block for their "Parent" room only. Players room is booked under Eden VBC room block for teams that travel together by Brad or Club.
  

• Brad/Eileen will LET GO any parent rooms not Credit Card confirmed on required ‘drop date’.
